Set up action set and add a new signature to multiple users

GAT Flow is a User management tool part of the GAT Suite of products. It allows Google Workspace Admins to Onboard, Offboard, and Modify users of the domain.

It allows taking bulk action on multiple users at the same time. The actions the can be taken are for:

  • Email
  • Drive
  • Calendar
  • Users
  • Groups
  • Classrooms
  • Devices

The Users audit of Flow allows the Google Workspace admins to update the Email signatures for bulk users at once.

Set Action Set

The “Action set” is a pre-set set of actions that are filled in with details and saved, then they can be used by the Admin to create Workflow, without needing to fill in details every time.

Navigate to GAT+ and open GAT Flow

In GAT Flow click on the “Action sets” button from the menu on the left.

Then click on “Add new action set” and a new window will be displayed, fill in the required details.

  • Name – enter a name for the Action set
  • Type – set up Workflow type Onboard or Modify
  • Under Users – select Set Email signature

From the “Set email signature” table, set up and adjust the email signature to your needs.

To set up the email signature using:

  • Use the available Variables and Tags
  • Use Classic or HTML editor

Use one of our Templates and create the perfect signature by clicking on the “Pick template” button from the bottom right corner.

Click on “Next” and fill in the details you want to use:

  • Company image – enter image URL or upload image
  • Company color – select color palette for the signature
  • Use your Social media links:
    • Facebook link
    • Twitter link
    • Instagram link
    • Linked in link
    • YouTube link
    • WWW – your website
    • Set up social icons color  – black or the default for each social media
  • Set up bottom tex of the signature

When ready click on the “Next” button and view how the email signature will look like and click on Save.

The Action set for the Email signature for the Sales team will be saved

Set up the signature for multiple users

Create workflow

Navigate to GAT Flow → Create Workflow 

Workflow type

In Workflow type fill in the details

  • Name – enter a name for the workflow
  • Type – select the workflow type – Modify 
  • Click on the “Next” button to proceed

Search for a user

Enter the users whose signature you want to change. Add the users individually, by group, or org. units

Click on the “Proceed to actions” button.

In “Choose actions” click on “Select predefined action set” to see all the predefined sets.

Select the one created above – “Set up email signatures for Sales team“. View how the signature will look like and click on the “Select action set” button

The Action set will be added, click on “Send approval request”.

Approval

The Security officer will receive an email as below, where they can approve or deny the request.

This will lead the Security officer to Flow where they can approve or deny the request

Result

You can check the result of the workflow under the Workflow tab and click on the “eye” icon to see more details

The Email signature for the Sales team (as the example above) will be set for all the selected users.
