Copy folder to selected users in bulk
GAT Flow allows admins to onboard, offboard or modify existing users/students in bulk and add any given Folder into their Google Drive.
Also, allows any selected group of users to have a copy of a specific folder in bulk.
To perform such action, navigate to GAT+ and open Flow.
When logged in click on Create workflow
Under Workflow type pick a name and one of the options.
Modify – Edit existing users and add them to a specific folder.
Onboarding – Create a new account and add them to a specific folder
Then click on Next to proceed.
For this example, we will use the Modify option
The Onboarding is creating the accounts first then doing the action to add users to Folder.
This will lead to a new window Search for a user
Pick any of the options to add users as Group or Org. Unit.
When picked the group or org.unit (add all in bulk, or edit and remove some users from the list)
When the users are selected click on Proceed to actions.
This will lead to the Choose actions tab
From the menu on the left pick Copy folder to the selected user(s)
In the field Copy from entering the email of the user whose Folder you want to copy from
Copy folder to the selected user(s)
When the user has selected a list of Folders in their “My Drive” will be displayed.
Pick the Folder you want to copy and click on Send approval request.
When the request is sent – details can be seen in Workflow
Security Officer Approval
The Security officer will receive an email notification and navigated to GAT Flow.
When it is Approved the job will take an effect.
Details can be seen in Approval in Flow.
The Folder “For every student” will be copied and placed in each of the selected Users.
The selected Folder (Classroom) will be copied and placed in each of the selected at the start users.
